Ambital
Two to five people

For small consultancies and studios

A firm of five, run like a business of one

Ambital is business management software for small professional firms: a founder plus associates, sub-contractors or a partner. Everyone on a full seat, one shared pipeline, schedule and set of timesheets, each person's rate in the margin, and a client portal with your name on it.

Teams · £150/month excl. VAT for up to 5 people

The schedule: the week's client work and meetings by day
This week · 3 people86 of 105 hours booked. Room for one more engagement from the 14th.

Sound familiar?

When the second person arrives, the spreadsheets multiply

“I can't see what my associate is working on.”

One schedule and one set of timesheets for the firm, with who's at which client on which day.

Team and permissions →

“I don't know if that project made money once I paid them.”

Each person's cost rate feeds the project's margin, so profit is after the people who did the work.

Costs and margins →

“Every sub-contractor sees everything or nothing.”

Access is set per person and per project. A contractor sees their projects and nothing of the firm's finances.

What you'll use

One firm, not five private spreadsheets

The Team page: three people with their roles, cost rates and project access

Everyone on a real seat, every rate in the margin

Give an associate a proper login, not a guest pass. Their rate feeds each project's margin, their hours land in the same timesheets, and what they can see is set per person and per project.

  • Roles and per-project permissionsTeams
  • Per-person cost rates, effective-datedEvery plan

One schedule, one set of timesheets

Who's at which client on which day, meetings included, and where there's room for the next engagement. Hours are submitted each week and approved by an admin before they're invoiced.

  • Schedule and resourcing across the team
  • Timesheet approvalTeams
  • Personal tasks stay private to each login
The client's view of their portal: status, approvals waiting and recent updates

A client portal with the firm's name on it

Status updates, approvals, files and invoices under your brand. Whoever on the team is closest to the work can publish the update; clients see the firm, not the tool.

  • White-label portal for the whole team
  • Approvals with versions, compare and pinned comments
The forecast against the year's goal

Forecast the firm, and run more than one company

Booked work across everyone's projects, the pipeline the team is chasing, and scenarios for hiring a fourth person, or not. Two trading entities or a second brand sit under one subscription with the same people and portfolio reporting.

  • Forecast scenarios with team cost rates
  • Multiple organisations, seats pooled across them

  2. TuesdayA new associateInvited, given two projects and a cost rate. Nothing else is visible to them.
  3. WednesdayStatus updatesEach project lead publishes theirs; the client sees the firm's name.
  4. ThursdayPipeline reviewOne pipeline for the firm, with the cost of each pitch.
  5. FridayApprove and invoiceTimesheets approved, invoices raised as one firm and synced.

Small team questions

Straight answers

Is Ambital agency software?
No. It's built for a firm of up to five people: a founder with associates, not a department with account managers.
Can a sub-contractor see only their own projects?
Yes. Access is set per person and per project, and a contractor role sees nothing of the firm's finances.
What if we grow past five?
Talk to us. There's no per-seat price, and larger teams are set up by arrangement.
Can each person connect their own email?
Yes. Up to 15 accounts across the team, Google or Microsoft 365, and each person's mail stays their own.
Which plan do we need?
Teams, at £150 a month for up to 5 people. If it's mostly you with the odd associate, Business Pro at £79 gives you free guest seats instead. Prices exclude VAT.
