Client onboarding and offboarding with a plan for every client

Ambital builds an onboarding plan for each new client from modules for the kind of work: a core module every client gets, then one for a social retainer, a campaign, a build, an advisory retainer, a design job or a service. Every item has an owner, a due day and, where the data exists, ticks itself. The client works through their items on a Getting started page. When the work ends, an offboarding plan does the same in reverse.

Included on every planMore in Clients
A client onboarding plan in Ambital: 20 of 23 items done, split by who owns them, with what the client still owes

What your client sees

Their side of the plan, and no more

  • A welcome email with a link to their Getting started page, no login needed
  • Their items: accept the portal invite, set you up as a supplier, sign the agreement, book the kick-off
  • A short set of getting-started questions, written into their brand kit and working agreements
  • The same list in the client portal under Getting started
  • A reminder when you send one: one click covers everything still outstanding

What you control

Your side ticks itself

  • Company details, contacts, billing, routing and the portal invite tick when the record is complete
  • Agreement signed ticks when the proposal is accepted or the contract e-signed
  • Modules by kind of work, plus the ones you write yourself or Ambi drafts from the SoW
  • Owners on your team per item, with due days from the start date
  • After go-live checks at 30, 60 and 90 days, then offboarding and renewal

How it works

A new client, live in four steps

  1. Step 1: Start onboarding

From a won deal, a new company or a new project. Choose the kinds of work, and Ambi pre-ticks the modules from the proposal or SoW.

  2. Step 2: Check the plan

Core items plus the modules you chose, each with an owner, a due day and whether the client sees it. Add your own items or edit the template for next time.

  3. Step 3: Send the welcome

The welcome email goes out with the Getting started link. The client's items appear on their page and in the portal.

  4. Step 4: Watch it close

Your items tick as the record fills in. The client's tick when they act. The plan shows what is outstanding and who owes it. Finish, and the after go-live plan starts.

Inside client onboarding

What a plan holds

A client onboarding plan in Ambital: 20 of 23 items done, split by who owns them, with what the client still owes

Core, for every client

Company details, key contacts, agreement signed, billing set up, supplier set-up on their side, portal invite sent and accepted, email and meeting routing, welcome email, working agreements, compliance paperwork, kick-off booked, recurring meetings created.

A module per kind of work

Social media, marketing campaign, paid ads, delivery and build, advisory and finance retainer, design and branding, interim and packaged services. Each adds the items that kind of work needs, such as accounts connected or the brand kit filled in.

Ambital Onboarding: four client plans with their modules, progress bars, the next item on you, what is waiting on the client and when each started

Every client, on one page

Clients, then Onboarding and offboarding: every plan with its progress, what is on you, what is waiting on the client and how long it has been. A card on Home shows plans that need you.

Getting-started questions

What should this work do for you this year? Anything we must never say? Who signs things off? The answers write into the client's brand kit and working agreements, so nobody asks twice.

After go-live

A day-30 check-in, first invoice paid, first report sent, a day-90 review of scope and retainer, and a prompt to ask for a testimonial. Starts by itself when onboarding completes.

Offboarding and renewal

Renewal review 30 days before the anniversary, files and access handed back, your access revoked, final invoice paid, testimonial or case study agreed, client set to Past and the workspace archived.

Questions about client onboarding

Before you onboard your next client

What kinds of work have a module?
Social media management, marketing campaign, paid ads, delivery and build, advisory and finance retainers, design and branding, and interim, audit and packaged services. They match the kinds of work in the project wizard. You can write your own, or describe the work and let Ambi draft the module.
Does the client need to log in?
No. The welcome email carries a link to their Getting started page, which works without a login. Clients who are in the portal see the same list there under Getting started.
Which items tick themselves?
Anything Ambital can see: company details, contacts and roles, the agreement signed, billing set up, the portal invite sent and accepted, routing rules, the welcome email, recurring meetings, the first invoice paid and the first status update sent.
Is offboarding the same thing?
Yes, run in reverse. Start offboarding from the client's record or the Onboarding and offboarding list, and the plan covers the renewal review, handing files and access back, revoking your own access, the final invoice, a testimonial and archiving the workspace.
Can I change the templates?
Yes. Business, then Onboarding templates, holds every module. Override items, add your own and set the welcome email wording. Your changes apply to the next plan you start.
Which plan includes client onboarding?
Plans, modules and auto-ticking are on every plan. The client-facing side, the welcome email and Getting started page, is included on Business and above: Business (£59 a month), Business Pro and Teams.
