Invoices built from the work you have already logged

Ambital's invoicing turns logged time, fixed-fee schedules and retainer periods into invoices, then tracks each one from draft to paid, with overdue invoices flagged. Every plan supports every billing model. From Business it syncs with your accounting software (Xero today, with FreeAgent and QuickBooks coming): Ambital works alongside it rather than replacing it.

Included on every plan, including FreeMore in Business
Ambital invoices page: £57,738 invoiced, £23,880 paid, £33,858 outstanding and 3 overdue, with invoices for Larkspur, Kestrel, Ashdown and Harbourline marked draft, sent, paid or overdue

Where invoices come from

Built from the project

  • Time and materials: pick uninvoiced billable time and it becomes invoice lines
  • Fixed price: an invoice schedule of deposits, milestones and dates
  • Retainers: each month's drafts for your active retainers
  • Overage: hours beyond a retainer, chosen entry by entry
  • Or a blank invoice, with VAT and your bank details

What happens next

Tracked until it's paid

  • Draft, sent, partially paid, paid and overdue at a glance
  • Download a PDF, or email it from Ambital with the PDF attached
  • Raise a credit note against an issued invoice
  • Clients view and download their invoices in the portal, from Business
  • Sync with Xero from Business, with a link to each invoice in Xero

How it works

From logged hours to paid in four steps

  1. Step 1: Set how the project bills

Retainer, fixed price or time and materials, with your rates, the fee and any invoice schedule.

  2. Step 2: Log the work

Time stays uninvoiced until it goes on an invoice, then it is marked invoiced so it is never billed twice.

  3. Step 3: Raise the invoice

Pull in uninvoiced time, a scheduled payment or the retainer fee, check the lines and save it as a draft.

  4. Step 4: Send and track it

Mark it sent, email it or push it to your accounting software. Paid and overdue invoices show on the Invoices page and in your Home brief.

Inside invoicing

Everything around the invoice

Invoices page

Every invoice across your clients, with totals invoiced, paid, outstanding and overdue, a status filter and a CSV export.

Project financials

Each project's invoices, invoiced against budget, and the value of time not yet invoiced.

Retainer invoices

Draft a month's invoices for every active retainer in one go, and bill hours over the allowance on an overage invoice.

VAT and credit notes

Choose a VAT rate for each invoice, and raise a linked credit note against an issued one, capped at what is left to credit.

Accounting sync

Connect your accounting software once for the organisation (Xero today, with FreeAgent and QuickBooks coming). Invoices are matched to projects, status changes flow through, and each one links to its accounting record. From Business.

Invoices in the client portal

Each client sees only their own invoices, and can open the online version or download a PDF. From Business Pro.

Questions about invoicing

Before you raise an invoice

Does Ambital replace my accounting software?
No. Ambital raises and tracks invoices against your projects and syncs them with your accounting software, so your accountant keeps working where they already do.
How many invoices can I raise on Free?
Free includes 3 invoices a month. Pro and every plan above it have no invoice limit.
Which accounting software does Ambital sync with?
Xero today, with FreeAgent and QuickBooks coming. Accounting sync is included from Business (£59 a month).
Can I invoice for a retainer?
Yes, on every plan. Ambital drafts each month's retainer invoices, and hours over the allowance can go on an overage invoice.
Can my clients see their invoices?
Yes, on Business Pro and above. In the client portal each client can open their own invoices online and download a PDF.
How do I know what is overdue?
Any unpaid invoice past its due date shows as overdue on the Invoices page, and your Home brief says how many are overdue and for how much.
