Running multiple organisations
Business Pro's multi-org — one subscription, pooled seats, Org Settings, moving projects, and one login for all your addresses.
Business Pro lets you run more than one business in one Ambital account — each organisation with its own clients, projects, integrations, currency and financial year, under a single subscription.
One subscription, full features everywhere
Your Business Pro plan includes two organisations (the paying org plus one more); each further org is a £25/month add-on on the same bill. Every covered organisation gets the full Business Pro feature set — the only things that stay with the paying org are the bill itself and adding or removing organisations.
Create an organisation from the organisation panel in the left menu (New organisation). You land on a setup checklist for the new org: Companies House lookup, currency and defaults, cost rates, team, integrations and branding. A new org starts empty on purpose — each organisation's settings are independent, and integrations are never shared between orgs.
When you belong to more than one organisation, each one has a badge at the top of the left menu — click one to switch. The top bar says which organisation you're working in, and a coloured bar across the page matches it, so it's always clear whose data you're editing.
Three kinds of organisation
Ambital keeps these apart, and labels them wherever they appear:
- Your organisations — ones you own or run.
- Organisations you work in — someone else's organisation where you have a team or contractor seat.
- Guest on — you've been invited onto specific projects only. Free for you, and it doesn't use one of their paid seats. You see those projects and nothing else.
Your day across all of them
Home can show your whole day across every organisation: meetings, tasks due and anything waiting on you, each labelled with its organisation. Use the All organisations switch at the top of Home, or pick one organisation.
- Clashes are flagged when a meeting in one organisation overlaps one in another.
- The Calendar can show your meetings from other organisations (dashed, view-only), and New event warns you if the time clashes, with the next free slot.
- My Schedule counts your hours in other organisations towards each day, and warns you before you plan onto a day that's already full.
- Anything from another organisation opens there — Ambital switches you over first. Nothing is ever copied between organisations.
- Ambi's morning summary stays with one organisation at a time; the combined view is built without AI, so one organisation's details never feed another's.
Settings → Combined view lets you turn each part on or off, and choose per organisation: Full details, Busy only (just the times), or Keep separate. Only you ever see your combined view.
Each organisation's owner decides how much can appear in people's combined views from their organisation — separately for team members (full details by default) and guests (busy only by default). Your choice can narrow that, never widen it. Notes, transcripts, emails, money, client contact details and files never appear, whatever is chosen.
If you're a guest somewhere, that organisation can't see when you're busy elsewhere unless you switch it on in Combined view — and then only as "Busy".
Merging an organisation you already have
If you type a name that matches an organisation you already belong to, Ambital says so and offers to bring it under your subscription instead of creating a second one — its data, team and integrations stay exactly as they are; only who pays changes. Being signed in as that organisation's Owner is your proof of ownership. Two organisations can never share a name in your account: to create a separate one, pick a different name.
If the organisation lives under a different login, generate an invite from Org Settings (Invite an existing organisation): you enter the email address its owner signs in with, and the link only works for that login — forwarded or leaked links do nothing. They accept it signed into their own account — that login is their proof — choosing which of their organisations joins. Links last 7 days; an organisation with its own active subscription needs that cancelled from its Billing page first, and one whose name matches an organisation already in your subscription must be renamed before it can join.
Seats and guests
Paid seats are pooled across your organisations and counted per person: you working in two orgs takes one of Business Pro's three seats, not two. When someone already on your team should work in another of your orgs, add them from that org's setup checklist (or Org Settings) — it doesn't use another seat. Guests stay per-organisation: three free guests in each org.
One thing to watch: seats count logins, so the same person using a different email address in each org counts twice — link the addresses to one login instead (below).
Org Settings
Settings → Org Settings appears once you have more than one organisation. It shows every org you administer, tabbed: plan and coverage, projects, team, guests and integrations — with one-click links that switch you into the right org to edit. Owners and Admins only.
Moving a project between orgs
From the Org Settings project list, Transfer moves a project — tasks, time, files, status updates and portal access — to another of your organisations. Two rules keep this safe:
- Only projects with no invoices and no linked bills can move. Financial history is wired to the organisation that billed it; close the project there and start the next phase in the other org instead.
- The client comes too. If this was their only project with you here, the company and its contacts move and leave this CRM. If they have other projects here, a copy is created and the company exists in both CRMs. Portal logins keep their access either way.
One login, several addresses
If you use a different email address per business (you@org-one.co.uk, you@org-two.co.uk), link them in Settings → My Profile → Linked email addresses. You can then sign in with any linked address and your usual password — one account, one seat, and you can tag each address with the organisation you use it for.
Portfolio
Portfolio (under Reports) puts every organisation side by side: active projects, hours, revenue, outstanding invoices and project RAG status, plus each org's financial-year forecast — outturn against target with pipeline on top. Each org keeps its own currency and financial year; nothing is converted or merged behind your back.
