Plans and billing
What each plan includes, how the trial works, and where to manage your subscription.
Ambital has five plans. Prices are per organisation, per month.
| Plan | Price | Best for |
|---|---|---|
| Free | £0 | The full workflow — see if it fits |
| Pro | £39 | Solo fractionals & consultants |
| Business | £59 | Fractional execs running multiple clients |
| Business Pro | £79 | Multiple businesses, your brand, still just you |
| Teams | £150 | Business Pro for a team of up to five |
What's in each plan
Free is a taster: every billing model (retainer, fixed and time & materials), time tracking and timesheets, proposals and agreements, Companies House lookup and 100,000 AI tokens a month, with 2 active projects, 3 clients, 3 invoices a month and 2 connected email accounts. Enough to run real work and decide if Ambital fits.
Pro removes the caps — unlimited projects, clients and invoices — and adds:
- e-signature: clients sign proposals and agreements online;
- approvals: send work for sign-off with versions, side-by-side compare and pinned comments, choose who approves and how many must say yes (see Approvals);
- meeting notes and transcript sync, and design tool connections (Canva and Figma today);
- Ambi's daily brief on Home, the asset register and core reports;
- 1 million AI tokens a month and 3 connected email accounts.
Business adds the client-facing and analytical layer:
- clients approve work from an email link, without logging in;
- client onboarding and offboarding;
- accounting system sync (Xero today);
- social media scheduling and the AI composer, outreach reporting (Mailchimp today), campaigns and brand kits;
- project templates, retainer analytics and rollover, the built-in activity tracker, Slack, and AI-built status update templates;
- forecasting and advanced reports;
- 2 million AI tokens a month, 5 connected email accounts and 3 free guest seats.
Business Pro is the top tier for one person:
- the full client portal, with messaging, invoices and per-item audiences;
- approvals in rounds (one group signs off, then the next);
- project briefs your client signs off, and ready-made proposal and contract templates;
- the services catalogue and shareable service menus;
- the custom report builder;
- multiple organisations with portfolio reporting;
- Ambital branding removed and a white-label portal;
- API access, audit logs and multiple accounting connections;
- 3 million AI tokens a month, 10 connected email accounts and priority support.
It is still a single-user plan. Sub-contractors and people from partner firms join your projects as free guests (5), and vendors you pay are suppliers whose bills feed project cost; neither needs a seat.
Teams is Business Pro for a small firm: up to 5 people on full seats, each with a role (owner, admin, team or contractor), per-project access and a cost rate that feeds project margin; a project lead on each project; a shared pipeline, schedule, timesheets and approvals; timesheet approval (each person's week is submitted as they log it, an admin approves it from the Timesheets page, and approved weeks lock for everyone but admins); the white-label portal for the whole team; 5 million AI tokens a month, shared; 10 free guest seats; 15 connected email accounts; and an onboarding call.
Need more than five people? Ambital never charges per seat. Get in touch and we'll set you up on a plan for up to ten.

Trials and seats
New organisations get a 14-day free trial. Signing up as just me trials Business Pro; signing up as a team of 2 to 5 trials Teams, with the five seats. You can switch between the two from Settings → Billing during the trial. The trial clock is per organisation and runs once: switching plans during the trial doesn't restart it.
Seats (active non-client logins): 1 on Free, Pro, Business and Business Pro; 5 on Teams. Guest seats (people from another organisation, invited into specific projects, free): 3 on Business, 5 on Business Pro, 10 on Teams. Client portal users are always free and unlimited on any plan with the portal.
Add-ons
Extras on your existing monthly bill, on any paid plan — no plan change needed. They're on Settings → Billing under Add-ons, each with a confirm step that shows the price before anything is charged. Adding one is prorated for the rest of your billing period; removing one credits the unused part.
- AI Boost — £5 a month for another million AI tokens (roughly thirty more whole-project questions to Ask Ambi, far more status update drafts). Pick how many you want — £5, £10, £15 and up — and the extra allowance is available straight away. See Ask Ambi for what each plan includes.
- Additional inboxes — £5 a month each, one more connected Google or Microsoft 365 email account on top of your plan's cap.
- Additional organisations — £25 a month each on Business Pro and Teams, for a second business you run under the same bill. These are added from Org Settings when you set the organisation up; the Billing page shows what you have.
If your plan has no card on file — a complimentary arrangement, or an organisation covered by a parent's plan — the section still shows what's on offer, with a note on why the controls are off.
Managing your subscription
Everything lives in Settings → Billing (admins only):
- Upgrade or change plan — the plan comparison sits behind See all plans once you're subscribed. Upgrades take effect immediately and you're charged the prorated difference; downgrades take effect at the end of the billing period.
- Payment details and invoices — managed through our payment provider's secure portal, one click from the Billing page. Ambital never sees or stores your card number.
- Downgrade or cancel — from the same place. Nothing is deleted. Pages that belong to a higher plan (forecasting, the client portal admin, outreach and so on) show an upgrade card instead of their content until you're back on a plan that includes them — the data is untouched underneath and reappears the moment you upgrade. The client portal pauses with it: your clients see a short "portal paused" page instead of their projects, and everything they had is back as soon as you're on Business Pro again. Approvals you've already sent stay open, so your client can still answer them, and agreements already out for signature can still be signed; you just can't send new ones. Volume limits only apply to new things: if you drop to a plan with a lower project or inbox cap, everything you already have keeps working; you just can't add more until you're under the cap.
