Calendar, meetings and meeting notes

Your schedule, your meetings, and the transcripts that remember what was said.

Ambital treats scheduling and meeting content as two sides of the same coin: the Calendar is where meetings live in time, and Meeting Notes is where what was said in them lands — transcripts, summaries and action items, filed against the right project.

The Calendar

Calendar on the rail shows your schedule in Day, Week or Month view, with upcoming meetings alongside. With Google or Microsoft 365 connected, your primary calendar syncs in automatically throughout the day; you can also create meetings directly in Ambital. Just moved something in Google or Outlook and don't want to wait? Refresh sync in the calendar header pulls the latest from every connected calendar right away — including time changes to meetings already imported.

Shortly before a meeting starts, a reminder pop-up appears in the corner of the app with the join link one click away. How much warning you get (default 10 minutes, or off) is your own setting under Settings → Notifications.

Adding an event is a click on the day; clicking an existing Ambital event opens it for editing. If you have calendars connected, the add dialog offers Also create on calendar — pick one of your own connected Google or Microsoft calendars and the same event is created there too. Edits and deletes follow it: change or remove the event in Ambital and the copy on the connected calendar updates or disappears with it. Ambital never re-imports its own pushed events, so nothing shows up twice.

With calendars connected, a Calendar row above the grid lets you switch between All calendars — everything merged — and each synced inbox on its own. Viewing one inbox shows just the meetings it synced, and the Projects dropdown narrows to that inbox's projects. Clicking a meeting opens its details: upcoming meetings offer a Join link and Open event in the calendar it came from; past meetings add Take me to meeting notes.

The habit that pays off: assign meetings to projects. An assigned meeting shows up on the project's timeline, its time is visible next to the project's other effort, and its notes file themselves correctly. Most of this can happen automatically — per-project routing rules match meetings by attendee domain or title, and a recurring series can carry a standing rule ("this weekly call always belongs to Project X"). The full mechanics are in Routing emails and meetings.

Meeting Notes

Meeting Notes pulls in transcripts from your connected notetaker app (connect yours from Settings → Integrations — see the Integrations overview), with summaries and action items. Transcripts follow their meeting's routing: Ambital checks your notetaker every hour, just after the calendar sync, and again each time you open this page, so a transcript that matches a project's rules arrives already filed. Anything unplaced waits here for you to assign to its project — or dismiss, for meetings that don't belong in Ambital at all (that Tuesday call about the school run does not need filing). Sync now in the header runs that check on demand.

Assigned notes appear on the project, so "what did we agree in March?" is a scroll, not an excavation.

The Notes Inbox

Notes Inbox catches inbound notes that arrive outside a meeting — quick thoughts, dictated notes, forwarded snippets — as a holding pen until you file them against a project or let them go.

Note: meeting notes and transcript sync need the Pro plan or above. The calendar itself works on every plan.

Tip: if meetings or their notes keep landing in the wrong place, don't re-file by hand each week — fix the rule once. See Routing emails and meetings.

Where this fits

Part of how Ambital runs advisory and coaching retainers and finance and month-end retainers. Each page shows how the project is set up, what it looks like, and the integrations that fit.
