Campaigns
Run a marketing campaign with your client in one place — deliverables and sign-off, a checklist they tick, tracking links with real click counts, and results against spend.
A campaign is a piece of marketing with a start, an end and a result: a direct-mail drop, a run of social posts, an email send, a paid-ads push, an event. Ambital gives it a home on the project, so the creative, the client's sign-off, the launch checklist, the links and what came back all sit together instead of across an email thread, a spreadsheet and a chat.
Campaigns live on the project's Campaigns tab. Choosing Marketing campaign, Social media management or Paid ads management when you create a project switches the tab on; on any other project, turn it on under Settings → Tabs. A project can hold several campaigns — a marketing retainer runs one a month.
Setting up a campaign
New campaign asks for a name, the type, the channels, an objective, the audience, key dates and budgets.
- Audience is a count and a link to where the list lives. The list itself never comes into Ambital, so there's no personal data to look after.
- Key dates — brief due, creative deadline, launch, in market until, wrap-up — appear on the campaign calendar, the project Calendar tab and the client's portal calendar.
- Fee is what the client pays for the work, for reference. Billing stays on the project as normal.
- Spend budget is media, print or postage. Actual spend comes from bills you tag to the campaign (below).
- Show this campaign to the client puts it on their portal. Spend is never shown unless you choose to.
Deliverables and the version that shipped
Each piece of creative — the letter, the insert, the post, the ad set — is a deliverable. Adding one can create an approval item for it in the same click, or link an approval item, a design or a social post that already exists on the project.
When the client approves, or when you mark a deliverable Shipped, the approved version is locked as the version that shipped. Uploading a later version doesn't replace it: the approval reads Locked v2 · Draft v3 pending, and the client sees the same badge in the portal and on their emailed sign-off page. Unlocking is deliberate — it asks for a reason and records it in the decision history. That is the direct answer to "was it v3 or v4 that went out?"
The checklist
Every new campaign gets a checklist for its type — for direct mail: address list confirmed, copy approved, proof approved, quantity confirmed, ship date agreed, budget agreed. Add, rename, reorder or remove items, and mark each required or optional.
The client ticks items in the portal (with the Approve permission) or on their emailed sign-off page, and every tick is stamped with who and when. You can tick on their behalf after a phone call; that's stamped as the team. Required items hold the launch: the campaign can't be set to Live until they're all ticked, and the message tells you which are outstanding.
Tracking links and QR codes
A tracking link is a short link on the Ambital domain that counts every click on its way to the destination. Make one for the QR code on the letter, another for the link in a post, and you know which brought the meetings.
- The code is short, avoids letters people misread in print, and never changes once made — retire a link rather than edit its code.
- Clicks by real browsers are counted; crawlers and link previewers (WhatsApp, LinkedIn fetching a preview) are counted separately, so the headline number is people.
- No IP address is ever stored. The referring page and country are, for a year.
- Turn on UTM tags and the redirect adds source, medium and campaign tags for your analytics, without overriding any already on the destination.
- The QR button gives a PNG for screens and an SVG for print.
Business plans include 50 links; higher plans are unlimited. Retiring a link frees its slot.
Calendar
The campaign calendar lays the window out by channel: a lane for the campaign's key dates, one per channel for deliverable due dates, drops and posts, and one for project milestones inside the window. Switch to the list view for the same items in date order. It reads from the deliverables and the campaign, so a date changed there moves here.
Results
Meetings booked comes first, because it's what every one of these campaigns is for. Underneath are the measures for this kind of campaign — pieces sent, impressions, opens, attendees — against spend, with cost per meeting worked out for you.
Each measure says where its number comes from:
- Live — tracking-link clicks, published posts, tagged bills and webhook events, read fresh each time.
- Recorded — numbers you type in with Record numbers. Each entry is a dated snapshot, so recording again next week builds a history.
- Derived — cost per meeting and cost per lead, from spend and the counts.
Spend is the bills you tag to the campaign with Tag bills…. A tagged bill also counts against the project's margin, as any project bill does, so nothing is double-counted.
Tick Client sees per measure to choose what the portal shows. Spend and cost per meeting are off by default.
The results webhook
Enable the webhook and you get a secret URL. Anything that can send JSON — Calendly, Cal.com, Typeform, HubSpot, Zapier, Make — can post a lead, meeting_booked, reply or sale event to it and the number lands on the campaign. Send an id with each event and a retry is recorded once. Rotate the URL if it leaks; disable it when the campaign is over.
{ "event": "meeting_booked", "source": "Calendly", "id": "evt_123" }
Campaigns across projects
Work → Campaigns lists every campaign you run for clients, grouped by client, with the headline numbers rolled up. Business → Campaigns does the same for your own marketing. Cards open the campaign on its project. Work → Social shows the social accounts you run for clients and their posts; your own brand stays under Business → Social media.
Tip: put the tracking link's QR code on the printed piece and the webhook on your booking tool, and the meetings booked figure fills itself in.
