Ambi's daily review

Every working morning Ambi looks at yesterday on each of your projects and suggests tasks, updates, things to look at and risks. Nothing changes until you click.

Each working morning, Ambi looks at what happened on each of your projects since the last working day and leaves you suggestions. You can also run it whenever you like. It's included on Business, Business Pro and Teams.

What Ambi suggests

  • New tasks: work agreed in a meeting, an email or a comment that has no task yet. Each one comes filled in with who should do it, when it's due, and the phase and section it belongs in. It has a priority too, when something is clearly urgent or minor.
  • Task updates: mark something done, move a date, reassign it, or put it on hold.
  • Needs a look: an approval or design that has waited a long time or has new client comments, a decision due soon, or an email that needs a reply. If a client asks for extra work beyond what you agreed, Ambi suggests drafting a change request. Ordinary things like a walkthrough, a demo or a sign-off meeting become tasks instead.
  • Risks: a new risk, or moving an existing risk's RAG.

Ambi checks what's already on the project first, so it doesn't suggest a task you already have. It never suggests the same thing twice.

Seeing why

Every suggestion says why Ambi made it. Click a suggestion to see the detail behind it:

  • the reason, and a short quote if there is one
  • what it would set (person, due date, phase, section)
  • where it came from: the meeting with its date and summary, the email with who sent it and what it says, or the task, approval, decision or risk, with a link to open it

On a project's Ambi tab, use Show where this came from.

Acting on a suggestion

  • Add task, Mark done, Move date, Add risk, Open and so on do exactly what they say.
  • Edit first on a new task adds it and opens the full task screen. There you can fill in details, links, documents, priority, section, phase and a checklist before you get going. On a new risk, Edit first opens a short form so you can change it before adding.
  • Make it a task turns a "needs a look" or risk suggestion into a task, for when Ambi has picked the wrong kind of thing, such as suggesting a change request for what is really just a client demo. It adds the task and opens the full task screen so you can rename it and set the person, date, section and priority. Ambi takes it as feedback, so next time it suggests that sort of thing as a task.
  • Dismiss removes a suggestion. Dismissed suggestions never come back.
  • Undo takes back a task or risk Ambi added, as long as nothing has been done to it yet, and brings back anything you dismissed or opened. Date and status changes to an existing task aren't undone from Ambi. Change them back on the task itself; the change is in its history.

Nothing on a project changes until you click. Reminders and change requests are only ever drafts for you to check.

Suggestions you haven't acted on stay for about a week, then drop off.

Teach Ambi what's useful

Every suggestion has a 👍 / 👎. On 👎, choose what would be better:

  • Should be a task instead
  • Not relevant to this project
  • Already handled
  • Wrong person or date
  • Something else

You can add a note too, for example "walkthroughs are just meetings, make them tasks". Should be a task instead swaps the suggestion for a task suggestion with the same reason and source, ready to add or edit. (Make it a task next to Dismiss does the same in one click, and opens the task straight away.)

The next time Ambi reviews that project, it reads your ratings and notes from the last two months. It makes more of what you found useful and less of what you didn't. Your ratings shape your own reviews of that project, not your teammates'.

Where you'll see them

  • The Ambi tab on each project, straight after PM Hub.
  • Ambi in the main menu, just under Home. It brings every project's suggestions together, grouped by project, so you can work through them in one place. The number on the menu shows how many are waiting.
  • A strip at the top of the project's Overview, a line in your Home brief, and a morning email with all your projects' suggestions. Each of these can be switched off.

When it runs

Your review is ready by 7:00 each working day (you can choose 8:00 or 9:00 instead). Monday's review covers Friday to Sunday, and your bank holidays are skipped. If nothing happened on a project, there's no review and no AI is used.

Don't want to wait? Press Run now on the main Ambi page to review all your projects straight away, or on a project's Ambi tab to review just that project. It takes up to a minute. It covers everything since the start of the last working day, and it never repeats a suggestion you've already had.

Only what you can see

Ambi reads only what you could open yourself: the project's meetings, tasks, emails filed to it, approvals, designs, decisions, risks and change requests. If you can't see the team's inboxes, Ambi won't suggest anything based on them. Only you see your suggestions.

Team only. Ambi never appears in the client portal, and clients can't use it.

Project leads: the team review

If you lead a project, you also get one shared team review. It shows:

  • each person's hours this week, their overdue tasks, and how many of their suggestions they've used
  • work nobody owns
  • people who are behind or overloaded

Switch between Mine and Team at the top of the Ambi tab. Send to puts a suggestion into a teammate's own Ambi list. It doesn't message them.

Turning it on and off, and what it costs

The review is on by default. To change it:

  • On a project: use the switch on the Ambi tab, or go to the project's Settings › Ambi. There you can also:

    • choose what Ambi looks at and what it can suggest
    • pick your ready-by time
    • choose where suggestions show
    • hide the tab for yourself
    • see what the review on that project has cost this month

Settings › Tabs has the same on/off switches.

  • Every project at once: go to Ambi › Usage and projects. For each project it shows:

    • how many reviews have run
    • how many suggestions you used
    • how many you marked 👍 and 👎
    • the tokens it has taken this month

You can switch off the projects where it isn't worth it. Ambi nudges you when a project's suggestions are rarely used or mostly 👎.

  • For the whole organisation: owners and admins can turn reviews off for everyone in Settings › AI.

Reviews use your plan's included AI allowance (see Ask Ambi). If you've connected your own Anthropic or OpenAI key, reviews run on that key and your provider bills you directly.
