Setting up your organisation
Company details, branding, defaults and your team — the once-per-account jobs.
Your organisation is your workspace in Ambital — your company, your projects, your clients. A few minutes in Settings when you first arrive pays off later, because these details flow into invoices, documents and the client portal.
Company details
Go to Settings → Company and fill in your business details — name, registered address, VAT registration if you have one. These appear on invoices and other client-facing documents, so it's worth getting them right before you send anything out.
Branding
Under Settings → Company, upload your logo and set your brand colour. On every plan they appear on your invoices and proposals. On Business Pro and Teams they also white-label everything a client touches: the client portal header and navigation, the e-signing page, the Gantt and status-update PDFs, and the emails Ambital sends on your behalf (portal invites, proposals, signature requests, login details) all carry your logo and colour, with a small text "Powered by Ambital" in place of our logo. The Portal appearance preview on that page shows exactly what a client will get — text on the header flips to dark automatically if your colour is pale.
Working defaults
Settings → Defaults holds your standard rates, currency and other defaults that pre-fill new projects. Set them once and every new project starts from the right numbers; you can always override per project.
What you do
When you create an organisation, Ambital asks two optional questions: the disciplines you work in (pick all that apply) and the kind of work you typically do — the same list as the "What's this project for?" step when you create a project. Neither is required, and neither changes your price or what you can use. We use the answers to understand how different kinds of independent professionals use Ambital and to shape the product around that.
You can change or clear your answers any time under Settings → Company → What you do. If you skipped the questions, the dashboard asks once, and "Not now" makes it stop.
Invoicing preferences
Settings → Invoicing controls invoice numbering, payment terms and the details that appear on every invoice. If you connect an accounting system later (see Invoices and accounting sync), some of this comes from there instead.
Your team
If your plan includes more than one seat, invite colleagues or sub-contractors from Business → Team. A seat is an active login that isn't a client — client portal users are always free and don't count.
When you add a team member you choose:
- whether you pay them (their cost rate feeds project margins) or they just log time;
- what they can see and do — capabilities and per-project scoping, so a sub-contractor can be limited to exactly the projects they work on.
Seats per plan: Free, Pro and Business include 1 seat; Business Pro includes 3. See Plans and billing.
Notifications
Everyone controls their own notification emails under Settings → Notifications — per-category toggles and a digest cadence (daily, weekly or off). Transactional emails such as invites and support replies always arrive regardless.
Note: only organisation admins can change company details, branding and billing. Team members manage just their own profile and notification preferences.
